Privacy Policy

This policy explains what personal information IC Appraisal BC collects, why we collect it, how long we keep it and who else handles it. It is written to meet the Personal Information Protection and Electronic Documents Act (PIPEDA).

What we collect

To prepare an appraisal we ask for, and you provide:

• Contact details. Your full legal name, email address, phone number and mailing address. The legal name is required because it is printed on the appraisal form itself.
• Vehicle details. VIN, year, make, model, trim, odometer reading, condition and history.
• Photographs and documents. Images of the vehicle, and where relevant the transfer form (APV9T), registration, bill of sale, repair invoices or a vehicle history report.
• Payment information. Processed by Stripe. We receive confirmation that a payment succeeded and the amount. We never see or store your full card number.

Why we collect it

Solely to prepare, deliver and support the appraisal you ordered, and to meet our own record-keeping obligations. An appraisal is an opinion of value that rests entirely on the material you supply, so the information is not incidental to the service, it is the service.

We do not sell your personal information, and we do not use it for advertising.

Who else processes it

• Stripe processes payments and holds the payment record.
• Google (Gmail and Drive) carries and stores the application email and its attachments.
• Netlify hosts this website and its submission functions.
• Amazon Web Services stores uploaded photographs and documents.

Each of these is a service provider acting on our instructions. Some store data outside Canada, which means it may be accessible to the authorities of that country under their laws.

Where your appraisal may go

The appraisal we produce is yours. If you submit it to an Autoplan broker, ICBC or the Ministry of Finance, you are doing that, not us. The one exception is the FIN-355 submission service, where you expressly instruct us to file your refund application with the Ministry of Finance on your behalf.

How long we keep it

Appraisal files, including photographs and documents, are retained for seven years. An appraisal supports a tax filing, and both the Ministry of Finance and the Canada Revenue Agency can review a filing years after the fact. Being able to produce the evidence a valuation rested on is what makes the appraisal defensible. After seven years, files are deleted.

Your rights

You may ask what personal information we hold about you, ask for a copy, ask us to correct anything inaccurate, or ask us to delete it where we are not required to keep it. Write to Support@ICappraisalBC.com and we will respond within 30 days.

If you are not satisfied with our response you may complain to the Office of the Privacy Commissioner of Canada.

Security

Access to appraisal files is limited to the appraiser. Payment card details never reach our systems. No method of transmission or storage is perfectly secure, and we do not claim otherwise.

Cookies and analytics

This site uses Google Analytics to understand which pages are read. That data is aggregated and is not used to identify you personally. We do not run advertising trackers.
